Why an RFP Competition?

The purpose of the mock Request for Proposal (RFP) session at Enterprise Connect is to provide an overview of the UCaaS/Hybrid communications solutions available in the market today. An RFP is an effective way for enterprise to evaluate solutions against their business needs, providing information on:

  • Cloud and Hybrid communications solutions
  • Pricing models
  • Feature comparisons
  • Cloud and Hybrid architecture comparisons

The Requirements

The actual RFP is too detailed to show in its entirety here, but this list provides an overview of the communications system requirements. The business request required a solution proposal for:

  • UC phone services for 2,000 users
  • An emphasis on resilient, redundant architecture
  • A selection of different desktop telephone models – basic, advanced, mobile, etc.
  • A single system for software features management and system administration
    • Systems management must include:
      • Provisioning, analytics, system monitoring
  • Robust Unified Communications features
    • Presence, IM, Mobility, Conferencing
    • Turnkey installation
  • The Total Cost of Ownership over a five-year contract
    • One-time hardware, licenses, installation costs
    • Monthly reoccurring cost

Key Observations from the 2016 RFP Challenge

The RFP session provided a detailed view of the unified communications as a service – cloud and hybrid – landscape in today’s market. Some of the high-level observations on display in the session included:

  • Prices for Cloud Communications solutions have come down
  • Most vendors are investing heavily in cloud delivery capabilities
  • Not every vendor has all the UC features
  • There are major differences in system management/dashboards
  • There are significant differences in overall quality
    • Significant technology differences
    • Significant service and support variances
